Somewhere between searching "passport documents" at midnight and opening a new tab every few minutes, the list starts to blur. One website says a ration card works as address proof. Another says it does not. A relative who applied two years ago remembers things differently. And the Passport Seva website, while accurate, is not exactly written for someone doing this for the first time.
The confusion is not imaginary. Passport Seva processes over 1.5 crore passport applications every year across India, and a significant share of rejections at the appointment counter happen due to documentation gaps that could have been avoided. The rules have not changed dramatically, but what counts as acceptable proof in each category, and how documents must be presented, is more specific than most people realise. Getting this right before you show up saves you from rescheduling fees, wasted leave, and weeks of delay.
The Passport Seva portal organises the required documents into four broad categories: proof of identity, proof of address, date of birth proof, and passport size photographs. Every applicant, regardless of whether they are applying for a fresh passport, renewal, or reissue, must submit at least one valid document from each of the applicable categories.
The accepted documents within each category are not interchangeable. Each has its own format, validity, and condition requirements. Understanding these distinctions before your appointment prevents last-minute rejections at the counter.

If you are residing at an address different from the one on your Aadhaar, bring an additional address-linked document. Using a utility bill that is more than 3 months old is one of the most common reasons for address proof rejection at the counter.
The date of birth document must clearly state your full date of birth. Accepted documents

Birth certificate issued by the Municipal Corporation or local government authority, school leaving certificate or matriculation certificate from a recognised board, declaration in Form 2 if no birth record exists, or a hospital birth record bearing the government hospital's seal.
For applicants born before 26 January 1989, the date of birth requirement is satisfied if the name appears in an electoral roll with the date of birth mentioned, or through a declaration in the prescribed affidavit format.
Two recent colour photographs of 3.5 cm x 3.5 cm with a white background are required. The photo must show a clear front-facing image with no headgear except for religious reasons.
Spectacles are not permitted in passport photos as of current Passport Seva guidelines. Photographs must be taken within the last 6 months.
The PSK appointment is where originals are verified and photocopies are retained. Arriving without the right set means rescheduling and a fresh fee payment. Here is what to carry:

Passport applications for children below 18 years carry a distinct set of requirements. The minor cannot use a parent's documents in place of their own. However, the nature of acceptable documents differs from adult applications.
For a minor's first passport, the required documents are:
A birth certificate issued by the Municipal Corporation or local authority as the primary date of birth proof. Both parents' original passports, if available. If only one parent holds a passport, that document is submitted along with a declaration from the non-passport-holding parent in the prescribed format.
The application must be submitted with an Annexure D declaration signed by both parents, or by the sole legal guardian. If one parent is deceased, a death certificate is required in lieu of their consent.
For a minor whose passport has expired or requires a change, the existing passport must be submitted along with the updated supporting documents. If the minor's address or school details have changed, updated proof reflecting the current information must accompany the application.
For minors above 15 and below 18, the passport is issued for a full 10-year validity period, unlike the 5-year booklets previously issued.
A passport renewal in India is technically processed as a reissue. The standard validity period for Indian passports is 10 years for adults and 5 years for minors below 15. Renewal becomes necessary when the passport is expiring within 6 months or has already expired.
Any adult whose passport was issued in India and is within its validity period or has expired within the last 3 years can apply for renewal through the standard Passport Seva online process.
Passports that expired more than 3 years ago require additional supporting documentation including an explanation letter.
A valid passport is the base document that enables everything from a UK visitor visa application to a simple travel booking. Keeping it renewed well in advance avoids gaps in your travel readiness.

If your birth certificate or school leaving certificate is laminated, do not submit it as-is. Carry the original alongside a notarised copy. The PSK counter staff will retain the notarised copy and return the original.
